Church Secretary Responsibilities
This is not done in any particular order.
1. Go through email and respond to or forward to appropriate church leadership.
2. Enter into database, information from visitor cards filled out from the previous Sunday’s service and place cards in file by date.
3. Update membership database as needed such as change of address/phone number, status of membership. Run membership reports as needed.
4. Listen to any voicemails on the answering machine and respond as appropriate.
5. Begin updating prayer sheet for publication on Wednesday, adding new prayer requests as they come in and updating older requests. Removing old ones that have been answered and adding any sympathies as needed.
6. Process and distribute any meeting minutes as they come in from various committees.
7. Maintain the church hard copy calendar including upcoming events and cancellations.
8. Maintain file of Building Use Requests and initiate the process of approval with the Building Use Committee being the communicator of approval and disapproval for the committee. Make sure appropriate forms are filled out and all information is collected in order to make a decision.
9. Maintain the online calendar that is accessed through the Church’s website.
10. Send out rapid email/texts to the congregation depending on need, such as weather alerts, cancellations, emergency prayer requests or hostess needs to name a few.
11. Design and update the Worship Service bulletin for the upcoming Sunday. Including any new announcements or reminders, upcoming week’s schedule and sermon information.
12. Help to support each committee and board upon request.
13. Organize and keep files, both hard copy and electronic, of committee minutes, agendas, bulletins and prayer sheets.
14. Field all phone calls and requests and respond as directed by church leadership.
15. Process all missionary correspondence that comes in and distribute to the Missions Committee.
16. Support and assist with any church correspondence with outside agencies such as local government agencies, etc.
17. Create and publish the weekly pre-service PowerPoint overhead announcements for each Sunday.
18. Publish and distribute the weekly Prayer Sheet on Wednesdays
19. Create and process weekly inserts as needed for the Sunday Bulletin such as sermon synopsis, letters and announcements from church leadership, promotional inserts for varied upcoming events.
20. Create monthly agendas for Elder Board and Executive Board with updated schedules and gather information as given/needed by various groups. Prepare and print out for each Board’s meeting (after obtaining each Board Chairman’s approval).
21. Work with hostesses and leadership to prepare for funerals as well as assist the families of the deceased as needed or asked. Includes preparing funeral service folder if needed or requested.
22. Complete and finalize the weekly bulletin. Print out number of bulletins for upcoming Sunday and include any inserts for each bulletin.
23. Create and distribute “Order of Service” sheets including information sent by the Music director for each Sunday’s service including Elder’s involved in the service and send out appropriate reminders for those who are scheduled to be involved for that Sunday.
24. Type out chart schedules for Deacon responsibilities such as opener/closer charts, door security schedules, counting schedules as needed.
25. Gather information, create and publish the church’s annual report for the annual meeting at the end of each fiscal year.
26. Create monthly events calendar insert for bulletin each month.
27. Send cards for illnesses, surgeries, funerals, etc. to members and regular attenders.
28. Assist Church leadership with any special projects as needed.
29. Label all booklets and pamphlets that are put out on racks or in holders.
30. Sort and distribute mail.
31. Update outdoor electronic sign as requested.
32. Make copies for church use for various ministries as needed.

Covenant Community Church is a non-denominational Bible church incorporated in 1938 and located in Redford Township (www.redfordchamber.org/), an older suburb on the immediate western border of Detroit, Michigan. The township is a diverse, working class community with many churches. Covenant draws from many communities.
Covenant is an evangelical Bible teaching and preaching church with an emphasis on missions. Since its founding in 1938, it has had four Senior Pastors. The late Rev. John L. Drummond, served over thirty-eight years from before incorporation. The late Rev. H. Dalton Myers retired in February 2004 and served twenty-nine and a half years. Dr. Cole Westwood relocated in 2017 to be closer to his family in Indiana after serving twelve years. The Music Director, Rev. Jay Barsaleu, accepted the dual role of Pastor and Music Director in 2018. His pastoral experience and musical giftedness have served the church well. He anticipates retiring in early 2023.
We are an independent church governed by the congregation through the annual election of an Elder Board which gives the direction and vision to the church, while the congregation votes on major decisions as recommended by the Elders.
The church presently has an annual budget of approximately $240,000 with 24% designated to missions and 43% to support a staff consisting of a full-time Pastor, two Secretaries who job-share a full-time position, a part-time Youth Pastor, a part-time Financial Secretary, and a part-time Housekeeper.
Attendance has been declining over the past decade or two and is presently in the 100-120 range for the Sunday morning service. In addition to the morning worship service and Sunday school for all ages, Covenant also runs a Wednesday adult Bible study/prayer service, a children’s club program, a youth ministry, and various adult Bible studies. It also has a library of 7,500 volumes including a large assortment of videos.
Musically we have a choir of some nine voices, a praise group consisting of vocal, percussion, guitar, violin, cello, keyboard and piano who are endeavoring to blend traditional and contemporary Christian music.

We are a church looking for God’s will. We are asking Him to direct us to a man who will lead us in our continuing love of God and His Son, as we worship and spread the Word, especially in our community. Our desire is to take our strengths and build on them and to target our weaknesses to change them into strengths. Our desire is to hold on to the stability that we have, yet relate effectively to the ever-changing world and community in which we serve. We worship an unchanging God and pray that He will lead the right man to our church family as we worship and share the Gospel to a lost and dying world.
