BiblicalTraining.org exists to give the whole church access to seminary-level theological education, completely free of charge. Every year, hundreds of thousands of students, pastors, and lifelong learners around the world turn to our courses to grow in their faith and their calling. We're a small, close-knit, mission-driven team — and we're looking for an organized, resourceful Administrator to help keep the engine running so we can keep expanding access to sound biblical teaching worldwide.
This is a hands-on, high-trust role at the center of our organization. You'll be the person who makes sure operations, finances, content workflows, and relationships all move smoothly — working directly with our President and the wider team. If you love variety, take pride in getting the details right, and want your work to genuinely matter, we'd love to talk with you.
Why You'll Love This Role
◆ Real impact: your work directly supports free theological education reaching learners in nearly every country in the world.
◆ Variety that keeps you sharp: no two weeks look the same — you'll touch finance, content, donor care, and operations.
◆ A team that treats each other with respect and grace, and genuinely means it.
◆ Room to grow: you'll build fluency across accounting basics, and content platforms, scheduling and presentation preparation with support along the way.
◆ Flexibility to work from home most of the week, balanced with weekly in-person touchpoints to stay connected as a team.
What You'll Do
SUPPORT & ADMINISTRATION
◆ Own day-to-day operations: phones, email and Zendesk support, and routing inquiries from users and donors to the right teammate.
◆ Coordinate volunteers, build survey forms (Cognito Forms), and organize weekly staff meetings (Google Drive, Zoom).
◆ Support our Founder and President with scheduling, expenses, travel, logistics, and other duties as assigned.
FINANCE & DEVELOPMENT
◆ Partner with our bookkeeper, on monthly expense submission and accurate account coding.
◆ Handle charges, deposits, and donation acknowledgements; build financial and KPI reports for the Finance Committee and board.
◆ Support donor communications alongside our development team.
CONTENT & WEBSITE
◆ Help shepherd new classes from creation to launch — building class and lesson pages alongside our content team.
◆ Keep the Master Course list current and coordinate logistics for speakers and staff during new recordings.
◆ Build landing pages, make non-technical website updates, and partner with our team on bigger fixes.
GOVERNANCE & MARKETING
◆ Schedule and support board and committee meetings, including minutes, scheduling, and logistics.
◆ Assist with annual tax filings and year-end giving reports.
◆ Collaborate with marketing contractors on social media, testimonials, and newsletters.
What We're Looking For
◆ 3–5 years of administrative experience — you know how to keep an office (or a remote team) running smoothly.
◆ Basic working knowledge of accounting/bookkeeping and nonprofit development/fundraising concepts.
◆ Strong, confident command of Microsoft 365 (Outlook, Word, Excel, Teams), Slack, Zoom, and Google Calendar.
◆ A fast learner who picks up new databases and software quickly — experience with tools like donor management software, QuickBooks, Trello, or Figma is a plus, but not required.
◆ Excellent written and verbal communication, sound judgment, and a calm, gracious presence under pressure.
◆ A self-starter who's equally comfortable working independently at home and collaborating in person each week.
◆ Detail-oriented, organized, and trustworthy with sensitive information.
Abilities
◆ Communicates clearly and confidently — comfortable presenting, persuading, and negotiating with coworkers and the public, while staying calm and courteous under pressure.
◆ Responsive and quick to follow up with teammates, donors, and users.
◆ Treats others with respect and grace in every interaction.
◆ Self-starter who thrives working independently, yet collaborates warmly and cooperatively as part of a team.
◆ Strong organizational and administrative ability to juggle multiple tasks, projects, and deadlines at once.
◆ Working understanding of non-profit operations and compliance guidelines.
◆ Sound problem-solving ability to navigate day-to-day operational questions with resourcefulness.
A Few Things to Know
◆ This role requires a vibrant relationship with Jesus Christ and agreement with BiblicalTraining.org's Statement of Faith, Cultural Statement, and Employee Handbook.
◆ A track record of strong ethical character is essential given the trust this role carries.
◆ You'll be part of a team that values respect, grace, and collaboration — and we're looking for someone who brings the same.
Physical Requirements
◆ Primarily sedentary work — able to sit at a desk and use a computer for extended periods (up to several hours at a time).
◆ Able to stand and walk intermittently around a home office or meeting space.
◆ Able to lift and carry up to 40 lbs occasionally (e.g., files, event materials, office supplies).
◆ Able to occasionally push and pull light loads not exceeding 40 lbs (e.g., a rolling cart or boxes).
◆ Able to travel locally to attend weekly in-person team meetings.
